The form is not long, but licensing counters reject it for small things: a letter of proxy that does not carry the right wording, proof of address in a director’s name with no affidavit, or a trust that arrives without its letters of authority. What actually goes wrong

The letter of proxy is a plain letter.It has to appoint the person for road traffic purposes and bind the organisation. A generic authority letter gets rejected.
Proof of address in the wrong name.A director’s municipal bill needs an accompanying affidavit, and without it the counter will not proceed.
A trust without its letters of authority.The trust deed alone does not prove who may act.
Nobody realises the proxy carries the fines.For criminal procedure purposes the proxy is deemed a director of the organisation, so appointing a temporary employee creates a problem the day they leave.
The vehicle is bought first.The twenty-one day registration clock runs while you are still waiting for a number that can take six weeks.

Frequently asked questions

Do you go to the licensing office for me?

No. Registering authorities require the proxy or representative to appear in person with original documents, so this is one you have to hand in yourself. What we remove is the reason people get turned away: the wrong form, a letter of proxy that does not say what the regulations require, and a certification list that is short by one document.

What does the registering authority charge?

The fee is set provincially rather than nationally, so it differs by registering authority and we cannot quote it. Ask your municipal licensing office when you hand in, and allow up to six weeks for the number to be issued.

Can you also register the vehicle?

We prepare the RLV registration pack as an add-on once the traffic register number is issued, including the checklist of what the seller must give you and the roadworthy position. The registration itself is done at the counter within 21 days of the date of liability.

We already have a number but the proxy has left.

That is a change of particulars on the same ANR form with a new letter of proxy, and we prepare it at the same price. Do it promptly, because until it is lodged the departed employee remains the organisation’s deemed director for traffic purposes.
